DRIVERS Easy Camper’s vehicles may only be driven by an authorized driver, 25 years of age or over. An authorized driver is the renter and any additional person(s) who appears at the time of rental, provides their drivers licence & has agreed to Easy Camper’s Rental Terms & Conditions. All authorized drivers must satisfy our age requirements, have a valid driver’s license, provide a physical street resident address, a major credit card in their own name, and fulfill our other qualifications. Please ensure you are able to drive the vehicle you are reserving. INSURANCE Third Party Liability, Comprehensive, and Collision Insurance is provided during the duration of the rental under ICBC. Third Party Liability: up to CAD 1 000 000. Comprehensive and Collision: up to CAD 70 000. Deductible: CAD 300. In addition, Residents of British Columbia are able to purchase a Roadstar or Roadside Plus package to their current ICBC policy. Some credit cards and Canadian personal car insurance policies do provide rental insurance, so please check with your credit card provider and personal auto insurance policy for details. Renters are responsible for the deductible in the event of an at-fault accident or other incidents. ROADSIDE ASSISTANCE Each Easy Camper’s vehicle comes with Roadside Assistance. You can also use your own BCAA / CAA Roadside Membership. Note that the roadside assistance is limited to accessible roads and areas. In the event of a breakdown, the Renter agrees to contact Easy Campers immediately. MECHANICAL ISSUES In the event of any mechanical issues or accidents you have to contact Easy Campers immediately. We will do everything we can to get you back on the road soon as possible. DAMAGE DEPOSIT The refundable security deposit of CAD 1500 is required to be paid together with the second half of the payment no later than 14 days prior the start of the rent. The security deposit or its part will be refunded within 7 days after drop-off via the same method of payment. RENTAL PERIOD The minimum rental period depends on the time of the year. If it appears we have openings shorter than that time period is applied, we may approve at our own discretion. Please email your request to us at [email removed] PICK UP & DROP OFF Easy Camper’s vehicles can be picked up at 3pm. At the time of pickup, we will do an orientation of the vehicle. Vehicles must be returned by 11am. There may be occasions in which your rented vehicle could be ready for earlier pick up. In this instance you may be offered early pickup and charged accordingly, whether a half day rate or hourly. Because the vehicle will be destined for its next rental and will need to be prepped, CAD 199 late charge will automatically be applied to the deposit on file if not returned on time, same as not picked up on mutually agreed time with Easy Campers. MILEAGE ALLOWANCE Each rental comes with a 180 kilometres per day allowance. This is calculated over the duration of the rental. If the allowance is exceeded the additional kilometres will be charged out at CAD 55 cents per kilometre + applicable taxes. Additional kilometre charges, if applicable, will be the number of kilometres driven as determined by the odometer readings at the beginning and end of the rental and supported with report from tracking device. TAXES & FEES Rates are quoted in Canadian dollars. GST (Goods and Services Tax – 5%), associated PST (Provincial Sales Tax – 7%) and BC Rental Vehicle Tax (CAD 1.50 per day) will be applied to your rental. UNAUTHORIZED AND PROHIBITED TRAVEL AREAS Easy Camper’s vehicles can be driven on roads only therefore all driving must be done on public roads. The Renter will be fully responsible for all damages, towing fees and any other expenses that arise if the vehicle is operated on an unpaved road (including FSR – Forest Service Road) and or non-public roads. The Renter is not covered by the insurance when driving on non-public roads including FSR. If Easy Camper’s vehicle is founded with an excessive dirt in the brakes and on the vehicle’s chassis the Renter will be charged a cleaning fee of CAD 149 and will be responsible for full amount of the costs for the repairs and the damaged parts. Driving in prohibited travel areas is strictly forbidden at all times. FUEL POLICY The Renter is responsible for fuelling up the rental vehicle with the correct type of fuel, whether gasoline or diesel. If the Renter fills the vehicle with the wrong type of fuel, renter is fully responsible for damages that occur as a result. The renter must refill or top-up the tank of the vehicle within a 10-kilometre radius of the drop-off location and present a receipt to avoid a refuelling charge. If renter returns van having not filled or topped-up the tank, renter will automatically be billed CAD 59 fee plus the amount for fuel which will be deducted from the damage deposit. SMOKING No smoking is allowed in any Easy Camper’s vehicle. Smoke odors in returned vehicle will result in additional fee of CAD 499. PETS Pets are allowed only if pre-approved by Easy Campers. Pets are not allowed on seats or beds. Excessive pet hair found in a camper van shall result in additional cleaning charges. INTERIOR AND EQUIPMENT DAMAGE Renter is fully responsible for any and all damages to the interior of the rented vehicle, including the damage of appliances, cabinets, roof tent, etc. Upon return, any damages or missing parts or items will be charged out at quoted market rates, which will come off of your damage deposit, once assessed and quoted. Renter will be responsible, not dispute and will be further billed for any damages that exceed the damage deposit amount. ACCIDENTS If a vehicle breaks down or is involved in an accident due to the renter at fault, Renter will bear all associated charges. Additional costs such as but not limited to loss of use, diminishment of value, tow, storage fees may also be applicable. If an accident occurs, a police report must be filed and Easy Campers must be notified immediately. CONDITION OF RENTAL & RESPONSIBILITY FOR REPAIR In the event of any loss or damage to the vehicle, or any personal property that occurs during the rental due to any cause regardless of fault, including collision, rollover, theft, vandalism, seizure, fire, flood, wind, hail or other acts of nature or God, Renter is responsible and is required to pay up to the deductible outlined in the insurance of the vehicle. It is renter’s responsibility to report all above mentioned to Easy Campers and to the Police immediately. Failure to report and document an incident within 24 hours may void insurance protection and the renter will be responsible for the cost of all repairs. SAFETY Easy Campers does a full mechanical and safety inspection of every vehicle before and after every rental. All vehicles are equipped with a fire extinguisher and a carbon monoxide detector. If you hear an alarm sound, please evacuate the vehicle, keep the door open and call Easy Campers immediately. Maximum allowed speed of all vehicles is 110 km/h. Faster driving & speeding will result in additional fee CAD 499. TOLLS, FINES, EXPENSES, COSTS AND ADMINISTRATIVE FEES Renter agrees to report to the Easy Campers and pay for all tolls and tickets (including for parking and moving or stationary traffic violations) incurred during the rental period. Renter agrees to pay or reimburse Easy Campers for all fines, penalties, interest, and court costs for parking, traffic, toll and other violations, including storage liens and charges incurred as a result of the rental. CANCELLATIONS The Renter will receive a full refund of the deposit that was paid to confirm the reservation (50% of the total price) less the 15% processing fee apply on all cancellations more than one month prior to pick up. Cancellations within 1 month of pick up will be charged 50% of the total invoiced amount. Cancellations within two weeks or the Renter is a no show then 100% of the rental cost will apply. No refunds will be given for early returns. Easy Campers reserves the right to cancel the reservation at any point and time before the reservation starts. That includes the cancelation during the orientation as well as during the test drive on the day of pick up – the full refund will apply. WAIVER OF LIABILITY You are responsible for all of your personal contents left in your Easy Camper’s rental vehicle at all times. Any theft, loss or damage of any and all personal items are not the responsibility of Easy Campers, its Owners, Directors or Employees at any time while the vehicle is being rented or thereafter. Renters, family members and guests will hold harmless Easy Campers, its Owners, Directors, Officers, Contractors and Employees for any and all liability issues or personal injuries related to the rental of vehicle, it’s use and operation thereof. This policy is accepted by the Renter, all drivers & passengers of Easy Camper’s vehicles upon reservation & payment.
